The Challenge
A coaching & professional development platform was running 50–60 personalized, high-value career assessments per cycle — a growing product hitting a manual ceiling. Because the product was highly monetized, quality and consistency were critical, yet every part of the process depended on people doing repetitive work by hand:
Every assessment required manual handling — score handling, PDF delivery, coach coordination, and follow-up were all done by hand.
Zero tolerance for mistakes. High monetization meant no room for delays, errors, or inconsistency.
Coaches were burning time on logistics, not on coaching.
No visibility into what had been sent, what was pending, or why.
The Solution
I rebuilt the end-to-end workflow into a single connected pipeline on Airtable, Zapier, SendGrid, and Google Drive — one pipeline, fully connected, with a deliberate human-oversight layer at its center. Here is how it works:
Intake → Airtable. Assessment responses migrate into Airtable via Zapier as they come in.
Automatic scoring. Score logic and report type — one of 4 report variants — are determined automatically inside Airtable, and dynamic content is assembled per member.
Report generation & delivery. A PDF is generated and stored in Google Drive, linked back to Airtable. A personalized HTML email goes out via SendGrid — 8 variants across score type × membership tier.
Human review queue. Airtable interfaces show sent and pending reports with reasons and tags. Staff review, override, and resend — oversight without a bottleneck.
Coach loop for annual members. A coach is assigned via an Airtable interface, an automated notification is sent, a 7-day follow-up questionnaire is triggered, and a feedback video is distributed automatically on completion.
