From Generic to Inclusive: Automating Personalized Learning Plans for Students

I designed and built a fully automated system for a US nonprofit's career-readiness program that turns a short teacher-completed assessment into a grade-specific learning plan — selected from 20+ dynamic PDF templates and delivered within minutes, with zero logins required from teachers.

The Challenge

A US nonprofit runs a virtual career-readiness program meant to support all students, including those with disabilities. But every participant received the same generic coursework, regardless of their stage, grade level, or learning needs — and educators had no mechanism to prioritize or adapt content based on the actual needs of their classrooms.

That lack of customization posed a real challenge for inclusive teaching. It made it harder to support students effectively across varying levels of ability and preparedness, and it left the program's promise of serving every student only partially fulfilled.

The Solution

I designed and implemented a fully automated system that generates tailored, grade-specific learning plans based on teacher input, delivered instantly as dynamic PDF documents. The system evaluates each student's context — grade level and readiness stage — and selects the most appropriate plan from a library of 20+ customizable templates. Each plan highlights activities suited to the student's development stage, ensuring equitable access to personalized guidance, especially for students with disabilities.

The entire pipeline runs as a single Make.com scenario. Here is how it works:

One Make.com scenario: from form submission to a personalized PDF in the teacher's inbox, in minutes.

The Results

Teachers now receive customized learning plans within minutes of submitting a short form — the process is fully automated from assessment to delivery. The nonprofit delivers a more adaptive and inclusive program across grade levels and learning needs, transforming a one-size-fits-all curriculum into meaningful, differentiated plans. Students with disabilities receive developmentally appropriate learning paths as a built-in outcome of the system, not an afterthought.

The automation handles all backend processing, saving staff time and reducing support demands. It requires no technical skills or logins from teachers, was built with minimal data retention to respect student privacy, and is designed for low maintenance and easy expansion as the program grows.

About this project

Frequently asked

How quickly are the personalized learning plans delivered?

Within minutes of a teacher submitting the short assessment form. The automation matches the student's grade level and readiness stage to the right template, generates the PDF, stores it securely in Google Drive, and emails the finished plan to the teacher — with no manual backend work at any step.

How does the system handle student data privacy?

The system was built with minimal data retention by design. It collects only what the short teacher-completed assessment needs to match a student to the right plan, and the generated plans are stored securely in Google Drive and shared through controlled links — respecting student privacy throughout.

What tools power the learning plan automation?

Make.com orchestrates the entire workflow: a Typeform assessment triggers the scenario, Google Sheets handles the assessment logic and plan matching, PDFMonkey generates the personalized PDF from a library of 20+ dynamic templates, and Google Drive plus email handle secure storage and delivery.

Can the system scale to more templates or more students?

Yes — it was designed for low maintenance and easy expansion. New grade levels or plan variations can be added by extending the template library and the matching logic, without changing anything for teachers: they still just fill in one short form, with no logins or technical skills required.
