I designed and built a custom Airtable platform — CRM, project management, and automated invoicing in one system — to show what a purpose-built tool can replace: it cut admin time by 90% and removed the need for any third-party CRM, task, or billing software.

The Problem

Running a small consulting or freelance operation across separate tools is expensive in ways that never show up on an invoice. A CRM in one place, a task manager in another, billing software in a third — managing projects, clients, and invoices across multiple tools is time-consuming, error-prone, and disconnected, with no single view of clients, budgets, or payments.

This is a system I designed and built to show what a custom Airtable platform can replace: a complete CRM, project management, and invoicing operation running in one base, with a background automation layer keeping everything in sync.

The Solution

A custom Airtable platform combining five components:

Inside the System

The clients view puts everything about a client in one place: a quick read on client lifetime value (CLTV), key business and contract details, Google Drive files and notes, and direct links to every related project and invoice — all on fully customizable fields and layouts.

Projects live on a Kanban board organized by status, each with custom fields and contract terms. Budget used versus remaining is calculated automatically, and the same structure supports hourly, daily, or fixed-fee billing models. A task tracker underneath separates invoiced from non-invoiced work, auto-calculates billable units and budget usage, and keeps due dates and deliverables in one centralized view.

Invoicing takes care of itself. Invoice IDs are auto-generated with custom code, cumulative late fees apply automatically based on each contract's terms, currency conversion happens in real time via an AI lookup, and invoice data flows to accountants through automation.

Two dashboards close the loop: a project dashboard summarizing task status and timelines, and an invoices dashboard showing total invoiced, paid, outstanding, and overdue amounts alongside weekly, monthly, quarterly, and yearly invoicing trends.
